Role and Responsibilities


At WeTravel, our People Operations team operates with a product mindset—constantly iterating, improving, and building scalable solutions that drive employee experience and support our company's growth. As the People Operations Specialist / People Advisor, you will be a key player in building smooth HR operations, serving as a trusted advisor for team leads and the first-line contact for employees. This role combines day-to-day people support with the opportunity to design new processes and optimize systems, making it a critical part of our growth.

Key Responsibilities:


HR Process Management:

  • Deliver accurate mutations for payroll processing, ensuring all employee data (e.g., salary changes, promotions, new hires, terminations) is up-to-date and seamlessly integrated with external payroll providers. Create a strong relationship with Finance to process payroll in the most efficient way possible.
  • Manage pre-processing of payroll for multiple countries, acting as the key point of contact with external payroll providers (e.g., Justworks, Deel).
  • Create and manage employment contracts, employee records, and HR documentation, ensuring accuracy, compliance, and confidentiality.
  • Oversee absence management, tracking and managing sick leave, vacation days, and other time-off requests.
  • Facilitate and improve pre-boarding, onboarding, and offboarding processes, ensuring new hires are set up for success and exits are managed smoothly and compliantly.
  • Manage the end-to-end administration of visa processes and 30% tax rulings, ensuring compliance with regulations.

People Advisory:

  • Serve as the first point of contact for all employees and team leads on HR-related matters, including people policies, benefits, and employment changes.
  • Advise managers on employee relations issues, including performance management, terminations, sick leave cases, and complaint investigations.
  • Lead the management of sick leave cases, ensuring compliance with legal requirements, while supporting both the employee and manager during the process.
  • Support the People Operations Manager in Compensation & Benefits projects.


Workflow & HR System Optimization:

  • Continuously improve HR workflows, focusing on automation and system integration to optimize the employee lifecycle.
  • Optimize our HiBob (and other systems: PEO + EORs) system to streamline operations and minimize manual tasks, ensuring data accuracy and process efficiency.
  • Support strategic changes in HR processes by identifying areas for improvement and recommending scalable solutions.


Policy Design & Compliance:

  • Collaborate with the People Operations Manager to design and update HR policies and procedures, ensuring they comply with local, state, and international regulations (e.g., EMEA labor laws).
  • Ensure that all processes are legally compliant and up to date with applicable laws, including payroll, benefits, and employment documentation.


Payroll & Reporting [future]

  • Oversee payroll for global employees and contractors, ensuring accuracy and compliance.
  • Collaborate with the Payroll Specialist to implement a unified payroll solution for all countries.
  • Provide payroll and benefits reports for finance, and conduct payroll audits.

Key Initiatives:

  • Build strong collaboration with Finance on the monthly payroll exercise.
  • Collaborate with the People Operations Manager to design and implement HR policies that align with global compliance and business needs.
  • Continuously improve HR workflows such as onboarding, offboarding, and employee data management, ensuring scalability and compliance.
  • Contribute to automating and optimizing key HR processes, embodying the People Operations as a product team vision, to improve overall efficiency and employee experience.

Skills Knowledge and Expertise

  • Extensive experience in People Operations, ideally within a global or distributed team.
  • Familiarity with HR systems like HiBob, payroll systems like NMBRS, and EOR’s like Deel.
  • Possess a strong understanding of payroll processes and knows how to build this collaboration with Finance.
  • People Advisory – proven experience in supporting team leads with all people matters (leading sick cases, termination cases etc).
  • Proven experience in managing all aspects of leave administration, including tracking and handling sick leave, vacation days, and other time-off requests.
  • Strong organizational and problem-solving skills, with the ability to manage multiple priorities and provide HR guidance to managers.
  • Detail-oriented, ensuring accuracy in employee records and payroll data.
  • Experience in improving HR workflows and contributing to policy design.
  • Excellent communication skills, with the ability to build strong relationships with employees and managers.
  • Extensive experience with Dutch labor law (for EMEA).
