The Public Relations Coordinator position calls for an individual who will enjoy collaborating with internal stakeholders, public relations professionals, Virtuoso members/advisors and media to help tell the Virtuoso story. Working directly with the Global Public Relations team, this position will help support the company’s public relations strategy; provide administrative support to the PR team; interact regularly with the company’s domestic and international public relations firms; assist with media relations and announcements; facilitate travel arrangements and registration for media attending Virtuoso Travel Week, Virtuoso Symposium, various press events and other company functions; develop media lists and supporting press materials; and, create and manage both departmental presentations as well as PR content needed by others. The Public Relations Coordinator is also responsible for creating and managing weekly, monthly and annual PR reports. By facilitating PR functions and the day-to-day operations of the team, the Public Relations Coordinator supports the corporate objectives of increasing awareness and desirability of the Virtuoso brand and the entire network amongst affluent traveling consumers and the luxury travel industry.

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Work with Vice President, Global Public Relations to support the company’s public relations strategy.
  2. Provide administrative support such as managing expense reports, assembling press kits and managing PR content needed by various departments.
  3. Manage all PR reporting by market on a weekly, monthly and annual basis.
  4. Research Virtuoso advisors as sources for interview requests.
  5. Support PR agency requests for image requests and promotional offers.
  6. Create and maintain press lists.
  7. Assist and support fellow PR team members with projects as needed.
  8. Work cross-functionally with other teams to create communications documents for initiatives that help position the company within the trade media and in the industry.
  9. Additional copywriting, including press documents, marketing collateral, executive correspondence, PowerPoint presentations and surveys.
  10. Research media outlets and opportunities to seek out new potential outlets.
  11. Review company press coverage, produce clipping reports and track results.
  12. Monitor competitive press coverage and draft executive summaries.
  13. Provide administrative support with network and industry awards. Assist with proofreading and other tasks related to the nomination, voting and announcement processes.
  14. Support on various marketing division projects as assigned.

Educational and Skills Requirements:

  • Bachelor’s degree in public relations or related field, or 2-5 years of equivalent luxury travel public relations, communications or marketing experience
  • Experience writing, editing and proofing travel marketing and/or press materials required
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize and problem solve in a deadline driven environment
  • Must have prior experience with PR monitoring and reporting platforms such as Cision, Agility or Meltwater
  • Detail and service-oriented project manager
  • Proficiency in MSWord, PPT, MSExcel, Adobe and Outlook all mandatory
  • Positive attitude a must

Travel Requirements:

  • Travel is rarely required for this position (0-1 trips per year).
  • Travel will be entirely domestic.

Type/Nature of Contacts:

  • External: Frequent contact with PR professionals, consumer and trade editors, freelance writers, senior executives of marketing partners and alliance companies, and vendors. Daily communication with Virtuoso member agency owners, managers and advisors. Contact with sales, marketing and communications executives of Virtuoso preferred partners, as well as their PR agencies, as appropriate.
  • Internal: Daily contact with Virtuoso staff.
