Executive Assistant
Introduction to the Team:
Travel Partnerships and Advertising helps partners, including hotels, airlines, destination marketing organizations (DMOs) and more, deliver excellent traveler and B2B experiences. We drive growth for our partners and the Expedia Group marketplace through competitive supply, our leading advertising and travel media network and affiliate solutions.
We’re looking for a highly organized and proactive Administrative Professional to support up to three Vice Presidents in our Travel Partnerships and Advertising division. This role plays a vital part in ensuring operational excellence through effective calendar management, expense tracking, and travel coordination. You’ll thrive in this role if you enjoy working in a dynamic, collaborative environment and are skilled at managing multiple priorities with professionalism and discretion.
In this role, you will handle:
Calendar Management: Provide high-level support by managing complex calendars across multiple time zones, prioritizing effectively and aligning schedules with leader priorities
Travel Coordination: Organize detailed domestic and international travel arrangements, including flights, accommodations, and itineraries
Expense Reporting: Prepare and process accurate and timely expense reports in accordance with company guidelines
Office Operations: Support administrative needs including coordination of office moves, resource requests, and general logistics
Event Support: Assist with planning and execution of internal events, offsites, and team meetings; including managing logistics, catering, presentations, and follow-ups
Onboarding Support: Help welcome and onboard new executives, ensuring a seamless integration experience
Community Collaboration: Partner with peers across the administrative community to share best practices, provide support during absences, and contribute to a high-functioning workplace culture
Special Projects: Take initiative on special assignments that stretch your skills and support broader team success
Experience and qualifications:
5+ years of experience in an executive support role
Bachelor’s degree or equivalent experience
Strong organizational and time management skills with keen attention to detail
Ability to prioritize and handle multiple assignments with flexibility and a proactive mindset
Clear and effective communication skills, both verbal and written
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Capacity to manage urgent requests and sensitive information with discretion and sound judgment
Starting pay for this role will vary based on multiple factors, including location, available budget, and an individual’s knowledge, skills, and experience. Pay ranges may be modified in the future.
